How do follow-ups work?

Log each time you get back in touch, add a note when something changes, set the next follow-up date, and see what's due.

A follow-up is a note of when you got back in touch, plus the date you'll do it next.

Log a follow-up

  1. Click the Log follow-up strip on the right edge of a target card, or Log follow-up in the Pipeline section of their peek.
  2. Note what happened, if you like.
  3. Choose Follow up next: In 3 days, In a week, In 2 weeks, Pick a date or None.
  4. Click Log follow-up.

The card shows "Followed up today", and the entry is added to the target's history.

Log a note

A note is a short update in the same history, such as "He unsubscribed" or "Sold out, try again in spring". It doesn't count as a follow-up, so the card's follow-up dates stay as they are.

  1. Right-click a target card, or use its ⋯, and choose Log note. Or click Log note in the Pipeline section of their peek.
  2. Write the note.
  3. Click Log note, or press ⌘↵.

The latest note shows along the bottom of the target's card, on one line, wherever the card appears: the pipeline board, All, Paused and Follow-ups. A newer note takes its place.

While a follow-up form is open, the Follow-up · Note switch at its top changes one into the other.

Add a note when a target lands in an outcome

When you drag a card into an outcome, such as Won, Lost or Represented, a small Add a note form opens under it to ask why. Write a line and click Log note, or click Skip or press Esc. The card has already moved either way.

See the history

Open the target. The Pipeline section of their peek lists every follow-up and note, newest first. Follow-ups have a paper-plane icon and notes have a sticky-note icon.

Remove an entry

Point at an entry in the history and click the trash icon. Removing a follow-up moves the target's last follow-up back to the latest follow-up left, so a card logged by mistake no longer says "Followed up today". Removing a note leaves the follow-up dates alone. If it was the latest note, the card shows the one before it.

See what's due

Choose Follow-ups in the rail. Targets are grouped as Overdue, Today, This week and Later. The rail count shows what's overdue or due today, with a red dot if anything is overdue.

With more than one pipeline, the picker at the top right shows All pipelines or just one of them. Plya remembers your choice. The rail count still covers every pipeline.

Cards also say when the next follow-up is due, such as "Follow up tomorrow" or "Follow-up 2d overdue". Right-click a card, or use its ⋯, to open it, move it, pause it or remove it from its pipeline (Right-click a target).

Results deadlines

A target's results deadline is when you expect to hear back. Within 14 days, the card shows "5d left", "Due today" or "2d overdue".

Follow-ups show in Plya only. Plya sends no reminder emails or notifications, so check the Follow-ups view, or ask Ash "Who do I need to follow up with this week?"
