How do I archive or delete a contact?
Archive contacts and organizations you no longer work with, restore them, or ask Ash to delete one.
- network
- archive
- restore
- delete
Archiving takes someone out of your lists without losing their history. It's the usual way to tidy Network.
Archive one
- Open the contact or organization.
- Open Settings at the bottom and click Archive contact or Archive organization.
- A toast offers Undo.
Or right-click the row in Network and choose Archive contact or Archive organization.
Archive several
- Tick the checkboxes beside the rows, or Select all.
- Click Archive in the bar that appears.
The same bar has Add to pipeline, which puts everyone ticked on an Outreach pipeline. See adding several at once.
See and restore archived records
- Open Network options (···) and turn on Show archived.
- Archived rows show an Archived badge.
- Open one and click Restore in the banner, or select several and click Restore.
Archived contacts and organizations are hidden from pickers unless they're already linked.
Archived contacts and the Basic limit
Basic includes 50 contacts, and the limit counts active people and leads. Archived contacts don't count, and organizations never do. Restoring a contact takes a place, the same as adding one.
If your studio has more active contacts than Basic includes, for example after a Studio plan ends, Network still lists, opens, searches and exports everyone. Adding and editing contacts wait until you archive down to the limit or upgrade. Archiving and deleting always work. See what the Basic plan includes.
Delete for good
Network has no delete button. To delete a contact or organization permanently, ask Ash, for example "Delete the contact Sarah Okonkwo". Ash always asks you to confirm and says how many tasks go with it ("Delete the contact Sarah Okonkwo and 2 tasks?"). This can't be undone.
| When you delete | What happens |
|---|---|
| A contact | Their project links go, projects where they were the client lose their client, their outreach targets are removed, tasks linked only to them are deleted, and their canvas is deleted |
| An organization | Its people stay without an organization, projects lose it as client, its outreach targets are removed, and tasks linked only to it are deleted |
