Finance is where you bill your work and get paid. It has two views, switched at the center of the page header: Invoices and Time. Clients pay invoices online through your own Stripe account. On Basic, Plya keeps 2% of each online payment, and Studio has no Plya fee.

You can draft and preview invoices before Stripe is connected. A banner above the invoices says where Stripe is, and Plya asks you to connect when you send one.

Main concepts

TermWhat it means
InvoiceA bill for a client, with line items, a total and a due date. It moves from Draft to Sent to Paid, or to Void
Line itemOne row on an invoice: description, quantity, rate and amount
Pay pageThe page your client opens from the invoice email. It shows the invoice and takes the payment
Time entryTime you worked, on a project or not, marked Billable or Internal
Ready to billBillable time that isn't on an invoice yet
Stripe ConnectHow Plya links your own Stripe account, so payments land with you

Invoice statuses

StatusWhat it means
DraftStill being written. Saves as you type. Only drafts can be deleted
SentSent by email or by link. Locked: move it back to draft to change it
OverdueSent, and past its due date. The header shows how many days
PaidPaid on the pay page, or marked paid by you
VoidCanceled after sending. No longer payable

How Finance connects to the rest of Plya

  • Projects: a project has an Invoices tab and a Time tab. Picking a project on a new invoice fills in its unbilled time and its client.
  • Network: an invoice's client is a contact or an organization. Their email, phone and address come from Network, and edits on the invoice save back to their record. Contacts and organizations have an Invoices tab.
  • Ash: Ash can draft invoices, log time and run the timer. It asks before it sends an invoice, marks one paid or deletes one. When Ash marks an invoice paid, your client gets a receipt and your studio is notified, the same as Mark paid.
  • Sidebar: a running timer shows in the sidebar on every page, and in the top bar on a phone.

Where the numbers are

At the top of the invoice list: Outstanding (sent and unpaid), Collected this year, and Draft. On a project's Invoices tab: Invoiced and Outstanding. On its Time tab: Time logged, Billable and Ready to bill.

Every Invoices tab, on a project, contact or organization, also shows Collected: everything paid on its invoices, from any year. When a project has a Value, a bar under the numbers shows how much of it has come in.

Finance is in US accounts on Stripe for now, and each studio bills in one currency: USD, CAD, EUR, GBP or AUD.
