How do I send an invoice?
Email an invoice from Plya, copy its pay link, or download a PDF.

A draft's Send invoice button offers three ways to get it to your client. Point at it or click it to see them.
| Option | What it does |
|---|---|
| Send in email | Opens the Send invoice dialog. Plya emails the invoice with a button to view and pay it |
| Copy invoice link | Copies the pay link and marks the invoice sent. Paste it anywhere, such as a message app. Undo in the toast puts it back to draft |
| Download PDF | Opens the print view so you can save a PDF. The invoice stays a draft |
If Stripe isn't connected yet, Send in email and Copy invoice link open "Connect Stripe to send this invoice" instead. Click Connect Stripe, and Stripe brings you back to the invoice when you're done. Download PDF works either way.
Send by email
- Open the draft and choose Send invoice → Send in email.
- Check To. It starts with the client's email from Network. Add more people as pills, up to 10 in one email.
- Edit the Subject and Message if you like. The preview beside them shows exactly what your client gets.
- On Basic, read the line near the button: "Clients pay online. On Basic, Plya keeps 2% of each payment. Studio has no Plya fee." It shows on every send, with the fee on this invoice beside it and what it would be on Studio, $0. Studio opens the plan dialog, and Upgrade does too. Nothing blocks the send.
- Click Send invoice.
You'll see "Invoice sent" with the addresses it went to. The invoice is now Sent and its Activity shows "Sent to client".
What the email looks like
- It comes from your studio's name "via Plya", from invoices@plya.app.
- Replies go to the Email in your Finance settings, or to the studio owner's email if that's empty. Receipts work the same way, whoever sent the invoice or marked it paid.
- It shows your logo and brand color, the dates, the line items, the total, a View & pay invoice button and a link to download a PDF.
After sending
- A sent invoice is locked. To change it, choose Move to draft from the Invoice options menu, edit it, and send it again.
- Copy pay link next to Mark paid copies the link again any time.
- Activity shows "Viewed by client" the first time your client opens the pay page.
- Once it's paid, Activity shows "Payment received" and ends with a green check, "Paid in full". For an online payment it also says when the money reaches your bank, such as "Available for payout Oct 8". That's the day the money lands in your Stripe balance, and Stripe sends it to your bank on your payout schedule (daily, unless you've changed it in your Stripe Dashboard). Open in Stripe opens that payment in your Stripe Dashboard.
- A bank payment counts as paid only once the bank debit clears, which takes up to 4 business days, so its payout date already includes that wait.
- When Stripe hasn't shared the date, Activity gives the usual timing instead: usually within 2 business days in the US. Open in Stripe shows the exact date.
You can't send an invoice with a total of zero, without a client, or without at least one line. If the email fails, the invoice goes back to draft so you can try again.
There are no automatic payment reminders yet. To nudge a client, copy the pay link and send it yourself, or ask Ash to send the invoice again.
