How do I create an invoice?

Start an invoice from Finance or a project, add line items, and pull in unbilled time.

You can start an invoice from Finance, from a project's, contact's or organization's Invoices tab, or by asking Ash. Stripe needs to be connected first.

You can create and preview invoices before Stripe is connected. Stripe comes in when you send one. See How do I connect Stripe?.

Steps

  1. In Finance, click New invoice. From a record's Invoices tab, click New invoice there, and the project or client is filled in for you.
  2. Pick a Project (optional). Its client fills in, and its unbilled billable time becomes line items at the project's rate. Archived projects aren't in the list.
  3. Pick a Client: a contact or an organization from Network. You can't create the invoice without one.
  4. Check the Number, Issued and Due dates, Terms and Payment note. They start from your Finance settings.
  5. Add or edit line items. Type a description and a rate, then press Enter to add the line.
  6. Add Notes for the client if you like, such as payment instructions or a thank-you.
  7. Click Create invoice. The new draft opens.

Line items

ColumnWhat goes in it
DescriptionWhat the line is for. Required
QtyHow many, or hours for time. Up to two decimals
RateThe price per unit
AmountQty × Rate, worked out for you
  • Lines that came from time entries carry a blue Time badge.
  • Pull time (N) in the Line items header lists unbilled billable time to add. Tick entries and click Add N.
  • Remove line takes a line off. Time on a removed line becomes billable again.

No rate on the project?

If the project has no hourly rate, the dialog says "This project has no rate yet." Enter a Rate per hour and click Set rate. The rate saves to the project, so you won't be asked again. You can also set or change it any time under Hourly rate in the project's details. Without a project rate, Plya uses the Hourly rate in Finance settings.

Editing a draft

A draft saves as you type, and the save status shows in its header. Its cards are: the total with number and dates, Line items, Bill to & project, Payment, Attachments and Notes.

  • Editing the client's email, phone or address on the invoice updates their record in Network.
  • Show these client details on the invoice the client sees controls whether the address and contact details print on it.
  • Attachments takes images or PDFs up to 20 MB each, such as a contract or reference images. They appear on the pay page.

Invoices and Basic

Basic has no limit on invoices. A paid invoice's detail has a Payment card that shows what the payment came to, including Plya's fee when your studio was on Basic. See what a client payment looks like.

Limits

Attachments per invoice50, each up to 20 MB
