Projects

A project keeps the work, the people, the tasks, the time and the money for one piece of your practice together.

A project is the main record in Plya. A commission, a collection, a show or a client job is a project, and everything that belongs to it links to it: contacts, tasks, notes, invoices, time and its own canvas.

The Projects page

  • Projects sit in rows of cards, grouped by Status, Priority or Label. The Group by button at the top right, with the rows icon, opens the choices, and its tooltip names the current one.
  • The tabs along the top filter to one group and show a count for each.
  • Grouped by status, drag a card to another row to change its status.
  • Each row ends with a tile such as + New planning project, which starts a project with that status.
  • Projects are listed newest first.

Each card shows the cover, title, priority, labels, how many of its tasks are done (such as 2 / 5 tasks, with a bar) and its start and due dates. The due date turns red with overdue once it passes. Projects that are On hold or Cut fade back.

See projects as a list

Switch Cards to List for one row per project, sorted by any column and edited in place. See How do I see projects as a list?.

See projects on a timeline

Switch to Timeline beside the tabs to see every project as a bar from its start date to its due date. Plya remembers which layout you picked, and the tabs filter the timeline too.

  • Group by, the rows icon at the top right, sorts the bars into rows by Status, Priority, Label or Client, or None for one list. None and Client group the cards too.
  • Each row shows the project's icon beside its name and highlights as you hover or select it, as in the list.
  • Bars take their status's color, or their priority's when grouped by priority. An open project past its due date ends in red. On hold and Cut projects fade back.
  • A project with only a due date shows as a diamond on that day.
  • Today brings today back into view. Week, Month and Quarter change how much time fits on screen, and Plya remembers your choice.
  • Drag a bar to move both dates, or drag either end to change one. The change saves as you let go, and the status above the timeline says when it's saved.
  • Projects with no dates wait under Not scheduled. Drag one onto the timeline to give it four weeks from the day you drop it on.
  • Click a bar to select it. Double-click it, or press Enter, to open the project. Hover a bar to see where today falls in it, such as Week 5 of 12.
  • On a phone, the timeline opens on Month until you pick another scale. Scroll it sideways, and tap a bar to open the project.

Right-click a project

Right-click a project's card for Open, Add to favorites, Archive project (or Restore project) and Delete project. Archiving shows a toast with Undo. Deleting asks you to confirm first.

Inside a project

Open a project to see its details on the left and its tabs on the right: Canvas, Tasks, Notes, Invoices and Time. Switch tabs in the Workspace list. Projects open in center peek, on Canvas. Switch to side peek or full page in the header, and click the pin beside a tab to open every project there.

See a project's timeline

The Timeline tab, right after Canvas, lays the project out from start to due: its statuses, the phases under each status, their tasks, and its invoices.

  • The top shows the project's dates and where today falls in them, such as Week 5 of 12, Starts in 3 days or 2 wk over in red.
  • Each phase tints the columns of its dates in its color. The yellow line is today.
  • Today brings today back into view. Week, Month and Quarter change how much time fits on screen, and Plya remembers your choice.
  • Bars show their dates, such as Oct 14 – 21, or one day for a task with only a due date. A done task shows a check before its date. A bar too short for its dates shows them when you hover it.
  • Click any task or invoice to open it.

Statuses and phases

Every project status heads its own row, in order: Planning, In progress, On hold, Complete and Cut to start with, or whatever you've named them in Customize options. Each status holds phases, such as Research, Sketches or Install, and each phase holds tasks. A status with no phases is a slim row with its +.

  • Click + beside a status to add a phase. A field opens right under it. Type the name and press Enter. A new phase runs two weeks, after the status's last phase, and takes its place by date.
  • A project with no phases shows its tasks with one line above them, Split this project into phases. Click it to name the first phase.
  • Drag a phase's bar to move it, or drag either end to change its start or end.
  • Double-click a phase's bar to rename it. Its ··· menu has Make current, Rename, Color, Move to status and Delete phase. Deleting a phase keeps its tasks: they move to No phase, and Undo puts everything back.
  • Drag a phase by its handle onto another status to move it there.
  • Hover a phase and click its + to add a task to it. The task is linked to the project. On a touchscreen the + always shows.
  • A phase's tasks sit in date order: by start date, or due date when there's no start. Tasks with no dates come last.
  • Tick a task's box to mark it done, or untick it to reopen it. The change saves at once, and the status above the timeline says so.
  • Drag a task by its handle onto another phase, or use Move to phase in its ··· menu. The menu also has Open, Add to favorites, Mark done and Delete, as in Tasks. No phase holds the project's tasks that aren't in a phase.
  • A task is drawn from its start date to its due date, or on its one date. Done tasks are green and overdue tasks are red. Drag a task's bar to change its dates.
  • Money shows each invoice by its number, from the day it was issued to its due date: blue when sent, red when overdue, dotted while it's a draft. A paid invoice turns green, with a mark on the day it was paid. Void invoices aren't shown.
  • Not scheduled, under the timeline, lists the project's open tasks that have no dates and no phase. Pick a due date for one and it moves onto the timeline.

On the Projects timeline, a project's bar shows its statuses in their colors.

On a phone

The plan reads as a list: each status, then each phase with its dates, a bar for how many of its tasks are done, and its tasks in date order, each with its box to tick. Tasks in no phase and invoices follow under No phase, with a Today marker where today falls. Tap anything to open it. Not scheduled comes last.

The current phase

One of a project's phases is current. It shows with the status, such as In progress · Fabrication 3/5, and sets the status. On the timeline it's marked Current. Pick a phase in the status picker, or Make current in its ··· menu. See How does a project's current phase work?.
