How it works

From first sketch to delivered

Keep it together

Everything on it stays linked

A project links to its client, the people on it, and its tasks, notes, invoices and time. Open it and they sit in tabs beside the details: Canvas, Timeline, Tasks, Notes, Invoices and Time.

  • One client, from Network or a name typed in
  • Link the fabricator, photographer and gallery
  • See your next task with each person on it

Move it along

Move work along, phase by phase

Drag a card to another row to change its status. Planning, In progress, On hold, Complete and Cut are there to start, and you can rename them or add your own. Split a project into phases, and the current phase sets its status.

  • The status shows the phase, like Fabrication 3/5
  • Drag phases and tasks on the Timeline tab
  • Tick tasks off right on the plan

Gather the work

Give each project its own canvas

Every project has a board of its own for sketches, references and files. It starts with the project's contacts, tasks, notes, invoices and files, laid out by kind.

  • Sketches and references beside the records
  • Use a card's + to add a linked task or note
  • Files show in your Library, by record

See it all

See every project at a glance

Projects sit in rows of cards by status, priority or label. Each card shows the cover, priority, labels, tasks done and its start and due dates. The due date turns red once it's late.

  • Sort the list by due date, client or value
  • Drag a timeline bar to move both dates
  • Undated projects wait under Not scheduled

Questions about Projects

What counts as a project?

A commission, a collection, a show or a client job. Everything that belongs to it links to it: contacts, tasks, notes, invoices, time and its own canvas.

How many projects can I have on Basic?

Basic includes 3 active projects, and Studio has no limit. Archived projects don't count, so archiving a finished one makes room for the next.

Can I start from a template?

Yes. Pick one in New project, and its phases and tasks fill in from the start date you choose. Plya ships sets for each practice, and you can save any project as your own template.

What happens to invoices and notes if I delete a project?

Invoices, notes and time entries stay, without the project. Its canvas and the tasks linked only to it are deleted. Plya asks you to confirm first, and archiving keeps everything.

Where do a project's files go?

Put them on the project's canvas. They also show in Resources → Library, sorted by record.
